Read from heidihealth.com/pricing in September 2026, the Free plan includes unlimited transcription, standard templates, task management and limited access to Ask Heidi, advanced templates and patient and session linking. Free is not the same as unlimited. The limits sit on the features that make the product more than a transcriber: evidence answers, advanced templates and linking sessions to patients. Twofold's pricing guide describes the 2026 free tier as unlimited consults and dictation with a monthly allowance of advanced actions, after which the advanced features pause until the next cycle. If your use is mostly turning a consultation into a standard note, the free plan may be all you need for a long time. If you want coding, team templates or EHR integration, you are on a paid plan.

How much do Heidi's paid plans cost?

Heidi does not publish paid plan amounts. The pricing page we read in September 2026 lists Clinician and Practice tiers, each with a 14 day free trial and a contact option, and an Enterprise tier, with no dollar figures on any of them. That is unchanged from our August 2026 check.

The most detailed public account is Twofold's Heidi pricing guide, which reports that Heidi rebranded its plans in February 2026 to Free, Evidence Plus at about 40 US dollars per user per month, Clinician at about 150 US dollars per user per month as the main paid tier for solo practitioners, Practice as a custom quoted team tier, and Enterprise. The same guide reports that annual billing on Clinician and Practice typically saves around 25 to 33 percent against monthly. Twofold is a competing scribe vendor, so we record these as reported figures rather than Heidi's price, and the fact that they differ from figures in older reviews is itself a warning that the paid pricing has moved more than once.

If the 150 dollar figure is right, Heidi's paid tier sits above Freed's Premier plan and close to Sunoh.ai's published rate, which reverses the impression the free tier creates. The practical answer is to start the 14 day Clinician trial, ask for the current price in writing during it, and compare that against the Freed and Sunoh.ai published figures before the trial ends.

How is Heidi priced?

Per clinician, in four tiers. Free is the individual entry point. Clinician adds unlimited evidence answers with citations, CPD and CME tracking, flexible data retention and an EHR integration add on, and the page states it does not include team features, coding or advanced platform controls. Practice adds team template sharing, an organisation wide evidence library, centralised billing, team management, guided onboarding, dedicated customer success, single sign on and custom terms and hosting. Enterprise is a negotiated contract.

Two things in that structure matter for a buyer. First, EHR integration is described as an add on at the Clinician level, so the per user figure is not the price of getting notes into the chart. Second, custom terms and hosting appear only at Practice and above, which means the negotiable data terms an organisation needs are a team plan feature, not something an individual clinician on the free tier can obtain.

Heidi is sold in several countries and prices in local currencies, so the US dollar figures reported by third parties may not be the figures a Canadian, Australian or UK clinic sees. The Heidi vendor page covers the product in more depth.

What is included and what costs extra?

  • Transcription and standard notes. Included on Free without a stated cap.
  • Advanced actions. Limited on Free, unlimited on Clinician, per the vendor page and Twofold.
  • EHR integration. An add on on Clinician, per the vendor page. Ask for its price and whether it is write back or a browser side push.
  • Evidence sources. Twofold reports a separate Evidence Plus tier for premium sources at about 40 US dollars per user per month.
  • Team features, SSO, custom terms and hosting. Practice and above. If you need a negotiated BAA or a specific data residency, this is the tier you are actually buying.
  • Coding. Not included on Clinician, per the vendor page; confirm which tier carries it.
  • Onboarding and customer success. Guided onboarding and dedicated success are Practice features. Individuals self serve.

Because the amounts are not published, the quote you request should list the per user rate on monthly and annual billing, the EHR add on, any evidence add on and the Practice tier features you actually need, each as a separate line. Otherwise you will not be able to compare it with Freed or Sunoh.ai, whose published prices are all in.

Heidi is cheapest to start and, on reported figures, among the more expensive to pay for. That is not a contradiction; it is a freemium design. The free tier is priced to be adopted by individual clinicians, and the paid tiers are priced for the organisation that later needs to bring those clinicians under one contract.

For a clinician who only needs notes, the comparison is Heidi Free against Freed Core at 79 dollars, and Heidi wins on price. For a clinician who needs notes in the chart, it is Heidi Clinician plus the EHR add on against Freed Premier at 104 to 119 or Sunoh.ai at 149, and the answer depends on a number Heidi has not published. Is Heidi worth it?

On the free tier the question answers itself, provided the data terms are acceptable: the cost is your time in the first two weeks, and the return is whatever documentation time it saves. Measure both. A clinician who notes 20 minutes a day saved has 73 hours a year back, and the only cost was reading the terms.

On the paid tier, use the reported figure. At 150 US dollars per user per month billed annually, or 1,800 a year, a clinician costing 180,000 dollars for 2,000 hours needs to save about 20 hours a year, or six minutes a clinic day across 220 days, to break even on time alone. Most ambient scribes clear that easily for clinicians who type their notes. The case is weaker for clinicians who already dictate quickly, and it weakens further if the EHR add on is priced separately and the alternative was copy and paste anyway.

What to negotiate before signing

On Free and Clinician there is nothing to negotiate, so the work is reading and asking.

  1. Get the current paid price in writing during the trial, on monthly and annual billing, with the EHR add on priced separately. Third party figures have changed at least once in 2026.
  2. Read the data terms on Free before recording a patient: retention, model training use and the BAA scope for individual accounts.
  3. Confirm what EHR integration means on your system. Add on and write back are not synonyms.

On Practice and Enterprise the conversation is a normal one: seat bands with a true up, the custom terms and hosting the tier advertises written into the contract, an organisation wide BAA, and an exit clause with export format. If several of your clinicians are already on the free tier, that is your leverage and also your governance problem, because their recordings are already under terms your organisation never reviewed. What an independent review adds

Heidi's pricing creates a specific organisational problem: clinicians adopt it for free, individually, before anyone in the organisation has read the terms, and by the time a practice manager asks about pricing there are already recordings under an agreement nobody negotiated. An independent review starts by finding out how many clinicians are already using it, then decides whether the right move is a Practice contract, a different vendor, or a policy.

It also settles the price question that the website does not: what the paid tier actually costs on your billing terms with the integration you need, compared like for like against the vendors that publish.
